Memo Text

The Adjusted Cohort Graduation Rates System (ACGRS) will be open from November 1-15, 2021, with support from the Office of Information Technology and Public School Accountability. ACGRS allows authorized district staff to validate graduation status for actual graduates that may reflect as non-graduates, delete on-time students who have transferred out, and add actual graduates not submitted in a cycle submission.

All corrections with proper documentation must be completed no later than 5 PM on November 15, 2021. Documentation must be uploaded into ACGRS for each correction. Failure to complete this action will result in an automatic denial. When corrections for the school district are complete, use the Submit Overall Corrections button to begin the DESE approval process. The system will be locked and corrections will not be possible after this time. The U.S. Department of Education’s Non-Regulatory Guidance for High School Graduation Rate will be used to decide whether records should be corrected.

ACGRS is designed to improve the data quality used to calculate the four-year and five-year adjusted cohort graduation rates at the school, district, and state levels. ACGRS includes two adjusted cohorts of students: the 2021 four-year adjusted cohort and the five-year adjusted cohort. The graduation rates resulting from the corrections process will be used for local decision-making and future federal and state accountability calculations. Last year’s corrections to the four-year cohort will be transferred to this year’s five-year cohort. There is no need to redo the four-year cohort corrections in the five-year cohort.

The figure below illustrates which students are included. 2021 four-year and 2021 five-year adjusted cohorts start with different groups of students, therefore it is essential to review both cohorts carefully.

Access to the system is available through ADE Cohort Graduation Rates System. District employees must use their Triand district-level login and password to access the system. Please remember that the data contained in this system is of a sensitive nature. As with granting access to Triand, district administration should ensure that only individuals with a legitimate educational interest as allowed by FERPA have access to the ADE Cohort Graduation Rates System.
